Account Manager / Operations Officer

We are currently seeking a highly organised and proactive individual to plan, organise, lead, and control operations in a highly efficient and cost-effective manner, while ensuring client satisfaction. The successful candidate will serve as the main point of contact for all client matters, anticipate client needs, ensure deadlines are met, and work closely with the company to support the client's success.
Key Responsibilities:
1. Provide comprehensive operational and key account services to clients
- At all times treat the client professionally and with respect.
- Investigate without any delay enquiries by the client and a written response must be submitted. Due note should be taken of the inherent difference between departments and branches, and that each department and branch is unique.
- Ensure that workers are in possession of a copy of all rules and regulations pertaining to the workplace of the client.
- Ensure through planning, leadership, guidance, and control, the supply of workers to the client is always prompt and timeous.
- In conjunction with the client Team Leaders and APS supervisors, plan and draw up an effective shift change roster for employees to streamline operations on site.
- Visit all branches on a regular basis.
- Ensure that site supervisors are in full control of their areas of responsibility to the satisfaction of the client.
- Exercise control over the quality of work of APS supervisors and workers on site.
2. Take over workers from the client and appoint new workers when required.
- Ensure new workers are appointed according to the approved quotation between APS and the client.
- Ensure each worker is taken through the following procedures:
- Complete an APS job application form.
- Receive and sign for APS company rules.
- Sign a contract of employment.
- Complete an application to open a bank account.
- Issue the required protective clothing to the workers.
- Conduct an induction Programme with new workers on site.
- Ensure that each worker receives a payslip with each salary payment.
- Ensure that each worker is totally familiar with what his/her job specifications are.
- Strictly adhere to all legislative requirements with regards to disciplinary procedures and actions.
3. Maintain continuous communication with employees and address problems raised.
- Visit departments and branches of clients with APS workers on a regular basis with the specific purpose of communicating with employees.
- Keep a written record of visits to each branch/department.
- Address employees' problems in a prompt and satisfactory manner.
- Keep a written record of all problems and actions taken to solve each one.
- Give frequent feedback to employees on issues addressed. Keep a written record of all feedback given.
- Provide a proper representative forum to employees to handle problems and concerns.
- Keep a written record of all meetings, issues discussed, and actions taken.
4. Maintain a system of timeous and up to date submitting and processing of documentation
- Ensure that all workers provided to the client are in accurate correlation with orders/requirements for same issued/communicated by the client, where applicable.
- Ensure that numbered clock cards or time sheets are implemented at the worksites of the client in good time before the commencement of any work shifts, and that they accurately reflect what was ordered/required by the client.
- Collect clock cards and time sheets from the client on the due dates and ensure that same are completed correctly and signed by designated representatives of the clients.
- Submit thoroughly checked and calculated clock cards to the wages department on the due date, and which are accompanied by copies of the clients' orders/GRV's where applicable.
- Take appropriate action on shortages, driver behaviour, fuel consumption and any other relevant reports from the client on a daily basis and give written feedback to the branch manager, COO and client managers.
- Manage employee leave and rest days according to client policies.
5. Financial management
- Keep all direct client costs, as determined by the contract, within exact limits at all times without sacrificing APS service levels to the client.
- Ensure that no undue or unapproved expenses or claims are allowed to occur which may jeopardise GP-margins at any time.
6. Upkeep employee discipline and adhere to all legislative requirements and handle all legal matters with regards to APS employees
- Follow the prescribed by law disciplinary procedures when handling disciplinary issues with employees.
- Keep thorough written record of all disciplinary procedures with employees and ensure that a copy of every procedure is placed on personal files of employees.
7. Plan and facilitate appropriate training for supervisors and workers when required
- In conjunction with the client, identify the need for specific training for APS supervisory staff and other employees on a continuous basis.
- Plan appropriate training in consultation with the branch manager.
- Arrange and co-ordinate training courses or on the job training for supervisors and employees as determined.
- Implement appropriate training check lists and attendance registers for use where training is in progress,to ensure the maintenance of required standards.
- Evaluate the performance of APS staff on all levels and on a continuous basis (at least quarterly), give feedback to employees and implement remedial action where necessary.
8. Market and expand APS's business within the clients' business
- Pursue every opportunity to market the services of APS to the client as needs arise or requirements are communicated.
- Give continuous feedback to the branch manager and marketing staff on new needs or requirements that you have identified, in order for them to follow up.
Requirements:
- Proficiency with Microsoft programs (Word, Excel, and Outlook).
- Excellent communication, interpersonal, and leadership skills with the ability to communicate effectively across departments.
- Detail-oriented, well-organised, and able to adhere to deadlines.
- Experience with customer service and conflict resolution.
